Getting paid in GBP
If your income arrives in GBP — a freelance invoice, a retainer, an offshore salary — the number that matters is not the one on the invoice. It is what reached your bank after conversion on the day the payment cleared. Those two figures are rarely the same, and the gap is why two identical invoices can be worth noticeably different amounts in INR a month apart.
Convert at the rate on the day the money actually arrived, not the day you raised the invoice and not the day you are doing your books. A payment invoiced in March and settled in May was converted in May, and May's rate is the one your records should carry.
Rates refresh four times a day and move constantly, so this is a close estimate rather than a dealing rate. Your bank or card will add its own margin on top.
